Druva Introduces Automated Chargeback Reporting

As an organization grows, so does the complexity of the infrastructure that delivers the services needed by the business. It has become increasingly difficult to keep track of who in the organization is using these services, and to what extent, in order to include those costs in each department’s budget. For example, when it comes to server backup and recovery, not every department needs the same amount of storage, so it then becomes the job of the IT team to effectively manage and track that storage consumption across each department and charge them accordingly based on what they use. This can be an extremely time-intensive manual process that involves several error-prone steps and, ultimately, doesn’t yield accurate information. As a result, the business is forced to spread costs across all departments in ways that negatively affect individual budgets but don’t reflect the reality of their server storage usage.

A common approach for obtaining this information has been to run a “server storage usage report.” However, this report doesn’t provide administrators with enough information to fully calculate chargeback amounts. In order to determine which servers belong to which departments, the IT team has to refer to an offline mapping cost code, and then manually combine the usage for all servers belonging to each department and refer to an offline rate card to determine appropriate chargeback amounts based on combined usage. Moreover, the IT team has to repeat this process every month.

New Chargeback Reporting

Druva helps IT teams automate the process of chargeback reporting when server backup and restore services are provided to various internal departments. With this new reporting feature, IT and management can quickly and easily determine how much storage is being consumed by specific teams, departments, and/or remote offices; immediately assign a dollar value to this storage usage; and forecast a budget accordingly.

Having the ability to see which servers are using the most data from a central console simplifies this process immensely. From there, chargeback reporting allows customers to create “cost codes” by selecting specific server groups across any organization and assigning them a cost per GB of usage per month. Admins also have the option of assigning selected servers to a previously determined “global rate price.”

The chargeback feature keeps all created cost codes organized in a single view, with the total number of servers mapped and the cost code price per GB per month in line with each code. Chargeback reports can also be automatically sent via email, providing the chargeback amount per department or per cost code.
